WEBDIGITALPRODUCT IMPORT

Product import for WooCommerce stores.

We import product catalogues into WooCommerce from CSV, Excel, XML or a supplier's data source. We map categories, prices, stock, images and variations, test a sample and agree which fields may be updated. For ongoing feeds, we assess a scheduled import or API connection.

START WITH A DATA SAMPLE Send a small file sample and your store address. We will check the structure, product identifiers and required fields before estimating the work.
02WHAT WE CAN IMPORT

WooCommerce product import from files and supplier feeds.

The required work depends on the source structure and the fields you need. We distinguish between creating new products and updating an existing catalogue so the import follows the agreed rules.

Product import: processing a catalogue file 01

Core product data

Names, descriptions, SKUs, prices and stock. We check the source format and identify which fields should be imported or left unchanged.

  • Names and descriptions
  • SKUs and prices
  • Stock and availability
Product categories and attributes 02

Categories and attributes

Map source categories and attributes to the store's structure. Agree naming and hierarchy so repeated imports do not create inconsistent groups.

  • Category hierarchy
  • Brands and attributes
  • Data for product filters
Importing product images and variations 03

Images and variations

Import accessible images and connect sizes or colours to the correct parent product. Variations need their own identifiers and relevant prices and stock.

  • Product images
  • Colours and sizes
  • Variation prices and SKUs
Scheduled price and stock updates 04

Scheduled product updates

Where the supplier provides a suitable feed, we can assess regular price and stock updates. Scheduling, logs and failure handling are agreed separately.

  • XML and CSV feeds
  • Price updates
  • Stock synchronisation
03BEFORE THE IMPORT

Product import starts with consistent source data.

We inspect a representative sample before choosing the import method. Missing identifiers, inconsistent categories or inaccessible images can require preparation even when the file is small.

WHAT WE CHECK

Stable identifiers. Predictable updates.

We agree how to identify each product and which source controls each field. This helps preserve your own descriptions, category choices and other manually edited content.

✓
Unique product identifiersA stable SKU or mapped identifier for each product and variation.
✓
Category structureAgreed category names, hierarchy and attribute values.
✓
Image sourcesAccessible image URLs or files matched to the right products.
✓
Variation relationshipsParent products, sizes, colours, prices and stock for each variation.
HOW WE WORK

Test a sample. Then run the full import.

Review a data sampleInclude typical products and any unusual categories or variations.
02

03
Import a small sampleCheck the result in a test environment or an agreed sample workflow.
04
Run the full importAfter approval, import in suitable batches and check the execution log.
043 IMPORT SCENARIOS

One-off product import or regular catalogue updates.

Choose a one-off transfer for a new catalogue, selected-field updates for existing products or a scheduled supplier feed. We agree the workflow before configuring the import.

01 · ONE-OFF IMPORT

Move your catalogue to WooCommerce.

For products stored in a spreadsheet or another shop system. We check what the export contains and map it to WooCommerce before transferring the catalogue.

An agreed catalogue is prepared, tested and imported. Orders and customer records are a separate task.
02 · SELECTED-FIELD UPDATES

Update prices and stock.

For a catalogue already in the store. Match incoming records to existing products and update only agreed fields, such as price, availability or stock quantity.

Selected fields are updated; your own content is preserved according to the agreed mapping.
03 · SCHEDULED SUPPLIER FEED

Connect supplier data to scheduled updates.

For a supplier providing a stable CSV, XML or API source. We assess update frequency, data ownership and what should happen if the feed fails or a product disappears.

The process runs to an agreed schedule, with logs and rules for exceptions.
05FREQUENTLY ASKED QUESTIONS

Product import: answers before you start.

Practical answers about file formats, product matching, images, variations and scheduled updates.

Which file formats can you work with?+
We assess CSV, Excel and XML files, as well as documented supplier APIs. The built-in WooCommerce importer uses CSV; Excel data needs conversion, while XML or API sources may require a suitable plugin or custom integration. We choose the method after reviewing a sample rather than assuming every format can be loaded directly.
Can you import thousands of products?+
Yes, subject to the source data and the store's server capacity. A catalogue with many variations or large images takes more work than the same number of simple products. We test a sample, check resource limits and use suitable batches where needed. We estimate the duration after reviewing the actual catalogue and environment.
Can product import include images?+
Yes, if the images are accessible and clearly linked to products. We check representative URLs, file formats and the order of the main image and gallery. Links requiring login or pointing to a preview page may need another approach. Image alt text is a separate field or task; the core WooCommerce CSV importer does not manage it.
Can you import sizes, colours and other variations?+
Yes, where the source identifies parent products and their variations. Each variation needs suitable attributes and its own identifier, price and stock where applicable. We test products with several combinations to check selection, availability and basket behaviour. A flat list of colours without relationships may require preparation before it can become a working variable product.
Do I need to prepare my Excel file first?+
Send the file as it is, preferably with a small representative sample. We will identify the changes needed: consistent column names, stable SKUs, category hierarchy or image references. Leading zeros, decimal separators and character encoding also matter. We explain what can be converted automatically and what needs a decision from your team before import.
Can you update only prices and stock?+
Yes, if products can be matched reliably. We configure selected-field updates and exclude your own descriptions, images or other fields that should remain unchanged. The same rule applies to variation records. We also agree what empty values mean, so a missing price or stock quantity in the supplier file does not automatically overwrite valid store data.
Can a supplier feed run automatically?+
We can assess scheduled imports from a suitable CSV, XML or API source. We agree the update interval, matching rules, field ownership and error handling. A scheduled feed is not necessarily real-time synchronisation: the delay depends on the supplier and the agreed frequency. Plugin licences, hosting requirements and ongoing monitoring are discussed before implementation.
What do you need to estimate the work?+
Send your store address, a representative data sample, approximate product and variation counts, and the fields you want to create or update. Mention existing manual content and any supplier documentation. Tell us whether this is a one-off transfer or a repeating process. We then clarify the missing information and provide an estimate for the agreed scope.
How does product import avoid duplicates?+
We agree a stable matching key: a SKU, an existing product ID or a mapped source identifier. Before repeating an import, we test matching for products and variations. A product name alone is not a reliable key. We also define how to handle new records or changed identifiers, rather than deleting and recreating products as a default response.
Can my descriptions and SEO fields be preserved?+
Yes, where those fields are excluded from the agreed update mapping. Rank Math, ACF and other plugin fields require a separate compatibility check; they are not automatically part of the standard CSV structure. We inspect a small sample before launch and verify both updated and preserved fields. Supplier descriptions should not overwrite your own content without agreement.
What happens when a product disappears from the supplier feed?+
We agree the policy before automation. A missing item may mean discontinued stock, an incomplete file or a feed failure. It should not automatically delete your catalogue after one unsuccessful run. We can assess rules for changing stock or status after agreed checks. Empty and partial feeds need separate handling from confirmed product unavailability.
How do you prepare product import and check the result?+
Before a full run, we check backups and recovery arrangements, assess a test environment and agree timing. Afterwards, we compare created and updated record counts with the source, review the log and inspect representative products. Currency, tax classes and price calculations follow the agreed store rules. Any discrepancies are resolved before the process is approved for recurring updates.
